Terms And Conditions 

Type of User:

(a) Voluntary Organisations:

Organisations which are established for the purpose any of the following:

  • Building the Kingdom of God
  • Benefiting the community, or
  • Providing wholesome educational activities

And:

  • Which are not established for profit
  • Which are self-funded charities


(b) Private Funded:

Any other user, not being a voluntary organisation as defined above. This category will include private organisations, clubs training sessions, for the user’s own staff etc.

Please note that we are not able to let the premises for private parties, like birthdays, etc, except for members of the church with prior request and permission.
 
Other Terms and Conditions:

  • Every application must state the nature, purpose, content and programme of the event for which the premises are required.  Publicity material used to promote the User’s event should be approved by the Church Council.  The building is not to be used for the promotion of any teachings or activities inconsistent or in conflict with the aims or beliefs of The King’s Church, Epsom.
     
  • As the buildings are a Christian facility, the Church Council expects lofty standards of behaviour from all its users, who are responsible for the conduct of their group while at the site.
     
  • The premises must be left in good order and vacated not later than the time booked.  The User is responsible for ensuring that guests leave the premises including the parking area, in a quiet and responsible manner having due regard for local residents.
     
  • No occupation of the premises shall continue beyond 10.30pm unless prior permission is obtained from the Church Council.
     
  • Lettings for music and dancing are admissible without a public licence application, only if entertainment is for a closed organisation where admission is by invitation only.  Entertainment is regarded as private if admission is restricted to members of clubs, church or a group or a similar association and their guests.
     
  • The King’s Church is covered by Public Liability Insurance. However, no liability is accepted by any part of the organisation for the loss or damage to any property, belonging to any person or organisation using the Church buildings.  Nor do we accept any liability for personal accident or illness sustained by any person.
     
  • The User must not sub-let to another group.
     
  • The King’s Church is designated as a non-smoking area and therefore smoking is not permitted.
     
  • Drinking of alcohol is prohibited in The King’s Church buildings.
     
  • Users must familiarise themselves with The King’s Church Fire Plan, COVID protocols and conform to its requirements.
     
  • Care must be taken regarding security of the premises. 
     
  • Storage should be confined to what has originally been agreed beforehand and any further items must be by separate requests rather than assumption. 
     
  • Rooms must be left as they have been found (or in a better condition than they were).  Repeated failure to do so is likely to result in termination of the letting.
     
  • The Church Council reserves the right to cancel lettings at any time. 
     
  • Where a user cancels a booking more than 48 hours before their event, the church will refund the full amount less a small administration fee. For cancellation within 48 hours prior to the event, the church may consider a refund by discretion.
